Job Description Summary

The Volunteer Coordinator is responsible for creating and carrying out the annual volunteer program plan to assure that adequate volunteer resources are available to meet the organization’s needs. This includes recruitment, placement, orientation and training, supervision, and recognition of volunteers in collaboration with program and administrative staff.

Main Responsibilities/Functions 

Program Coordination

  • Develops volunteer program annual plans in a timely and detailed manner.
  • Annually engages all staff in an assessment of volunteer needs across the organization.
  • Provides quarterly reports on progress on the plans. Seeks quarterly feedback from programs to identify areas for improvement.
  • Provides monthly data regarding recruitment and volunteer hours.
  • Manages the volunteer database to track volunteer engagement and service.
  • Annually evaluates the volunteer program, with input from program and administrative staff, to identify areas for growth and improvement.
  • Develops and distributes volunteer program policies and procedures, assuring that all protocols, materials and manuals are updated regularly.
  • Devising goal-oriented work schedules.
  • Reviewing Volunteers' performance at scheduled intervals.
  • Ensuring compliance with Volunteer-specific and company-wide guidelines

  • Promoting budgetary compliance to preserve our operations

Recruitment/Placement

  • Creates and implements an annual recruitment plan to meet organizational needs, carrying out targeted recruitment for specialized roles.
  • Assigning routine and ad hoc responsibilities to Volunteers.
  • Issuing sound instruction and appropriate mentorship.

Recruitment/Placement

  • Hosts and attends recruitment events within the community to attract qualified candidates.
  • Works with development team to publicize volunteer opportunities.
  • Develops and maintains relationships with other volunteer organizations in the area.
  • Interviews candidates to evaluate their appropriateness.
  • Carries out specialized recruitment for each fundraising event in collaboration with staff. Creates a volunteer plan for each event with assignments and schedules to assure smooth event operations.

Volunteer Training and Supervision

  • Conducts and arranges volunteer orientation and training.
  • Schedules volunteers for activities and orient them to the volunteer database.
  • Plans and carries out recognition programs and events.
  • Confers with volunteers to resolve any issues or grievances and promotes cooperation and retention.
  • Creates and distributes volunteer communications and newsletters.

Other Duties

  • Participates actively in staff meetings and activities, providing support as needed and requested.
  • Carries out other duties as assigned.

Qualifications

  • Bachelor's Degree (BA) from a four-year college or university in business administration, marketing and communications, or related field.
  • At least two years of experience in the not-for-profit sector, fundraising, event planning or marketing or comparable experience in the for-profit sector.
  • Computer skills required: must be able to use Microsoft Office and customer relationship management and database software.
  • Excellent oral and written communication skills.
  • Ability to effectively manage a wide array of tasks, projects, and responsibilities.
  • Excellent customer service skills and ability to work with diverse people and groups.
  • Must be able to work a flexible schedule to accommodate volunteer, fundraising, and community events.
  • Must have good animal handling skills for both cats and dogs

Physical & Environment 

  • Possession of a valid California driver’s license and driving record 
  • Must be able to lift/carry 25 lbs. or more.
  • Work is completed in an office within an animal shelter.
